Paddington Cleaners Health and Safety Policy
This Health and Safety Policy sets out the commitment of Paddington Cleaners to provide a safe and healthy working environment for all employees, contractors, clients, visitors and members of the public who may be affected by our cleaning activities. Our goal is to prevent injury, ill health and accidents by managing health and safety risks in a systematic and responsible way.
Policy Statement and Objectives
Paddington Cleaners recognises its responsibilities under relevant health and safety legislation and best practice guidance. We aim to identify, control and reduce hazards related to our cleaning operations, both at client premises and in any facilities we use. We will take all reasonably practicable measures to safeguard the health, safety and welfare of our staff and others.
Our key objectives are to provide safe systems of work for all cleaning tasks, supply and maintain suitable equipment, ensure the safe use and storage of cleaning chemicals, provide appropriate information, instruction, supervision and training, and promote a culture where health and safety concerns are raised and addressed promptly.
Responsibilities and Management
Overall responsibility for health and safety rests with the senior management of Paddington Cleaners. Management is responsible for ensuring that this policy is implemented, reviewed and updated, and that adequate resources are made available for health and safety measures.
Supervisors are responsible for monitoring working practices on site, carrying out local checks, enforcing safe working procedures, and ensuring that staff understand and follow training and instructions. All employees have a duty to take reasonable care of their own health and safety and that of others who may be affected by their actions, and to cooperate fully with the company in all health and safety matters.
Risk Assessment and Safe Systems of Work
We will conduct suitable and sufficient risk assessments for our cleaning activities, including routine cleaning, periodic deep cleaning, floor care, window cleaning within safe reach, and any other services we provide. These assessments will consider relevant hazards such as slips, trips and falls, manual handling, exposure to cleaning chemicals, electrical equipment use, lone working and working in client-occupied premises.
Based on the findings of these assessments, we will implement safe systems of work and written procedures that are communicated to staff. Where necessary, site-specific risk assessments and method statements will be prepared in collaboration with clients to address particular layouts, access routes, security requirements and any special risks present at the premises.
Training, Information and Supervision
Paddington Cleaners will provide all employees with appropriate initial and ongoing health and safety training relevant to their roles. This includes induction training on company policies and procedures, training in the safe use of cleaning chemicals and equipment, manual handling techniques, control measures for exposure to hazardous substances, and the correct use of personal protective equipment.
Information and instructions will be given verbally and in writing, and supervisors will ensure that staff understand and can follow the guidance provided. Refresher training will be offered as needed, especially when new equipment, substances or methods are introduced, or when risk assessments or procedures change.
Chemical Safety and COSHH
We are committed to the safe use, storage and disposal of cleaning chemicals. Only approved products supplied with suitable safety data information will be used. Assessments will be made to identify hazards and the control measures required, including appropriate dilution, application methods and ventilation.
Chemicals will be stored securely, clearly labelled and kept in their original containers wherever possible. Staff will receive training in interpreting hazard symbols, following product instructions and using protective equipment such as gloves and eye protection when required. Spills and accidental exposures must be reported immediately and dealt with in line with company procedures.
Personal Protective Equipment
Where risks cannot be adequately controlled by other means, appropriate personal protective equipment will be provided at no cost to employees. This may include protective gloves, footwear, eye protection, high visibility garments or other items as determined by risk assessment.
Employees are required to use personal protective equipment as instructed, maintain it properly, report any loss or defect, and store it safely when not in use. Management will ensure that equipment is suitable, fits correctly and is replaced when damaged or worn.
Equipment, Machinery and Electrical Safety
All cleaning equipment and machinery used by Paddington Cleaners, including vacuum cleaners, floor machines and other electrical appliances, will be maintained in safe working order. Regular checks and servicing will be carried out in line with manufacturer recommendations and company procedures.
Employees must visually inspect equipment before use, report faults immediately and never use defective or damaged equipment. Cables will be routed to minimise trip hazards, and electrical equipment will not be used with wet hands or in areas where water presents an added risk, unless specifically designed for that purpose.
Housekeeping and Workplace Conditions
Good housekeeping is essential to safe cleaning operations. Work areas will be kept tidy, with cleaning materials, equipment and waste managed in an organised way. Warning signs and barriers will be used where appropriate to alert building users to wet floors or restricted access during cleaning.
Waste, including sharps or hazardous materials encountered during work, will be handled and disposed of in line with agreed procedures and risk assessments. Staff will be instructed to avoid direct contact with any unknown or potentially dangerous materials and to report them immediately.
Incident Reporting and Emergency Procedures
All accidents, near misses, injuries, spillages and dangerous occurrences must be reported promptly to a supervisor or manager. Records of incidents will be kept and reviewed to identify patterns and opportunities for improvement. Where appropriate, corrective and preventive actions will be taken and communicated to staff.
Emergency procedures, including fire evacuation routes and assembly points at client sites, will be explained to staff working on those premises. Employees must familiarise themselves with local arrangements, follow instructions from responsible persons and participate in drills where required.
Health, Wellbeing and Lone Working
Paddington Cleaners recognises that staff health and wellbeing are vital to safe performance. We will take reasonable steps to reduce work related stress and fatigue, including sensible scheduling, rest breaks and fair allocation of tasks. Where staff work alone or outside normal hours, we will assess the risks and put in place suitable control measures and communication arrangements.
Consultation, Monitoring and Review
We encourage open communication on health and safety matters. Employees are invited to raise concerns, suggest improvements and participate in discussions about safe working practices. No employee will be treated unfavourably for reporting a genuine concern.
This Health and Safety Policy will be monitored for effectiveness and reviewed periodically, and whenever there are significant changes in our operations or in relevant legislation or guidance. Any updates will be communicated to all staff and, where relevant, to clients.
